People and an AI assistant: how the agency works

Two parties share the work at BRAMA. People are responsible for communication, decisions and money. The agency's AI assistant is responsible for routine: calendars, documents, reminders and statuses. It signs as an assistant and never presents itself as a person.

The booking manager keeps the first contact, the negotiation, the terms and the fees. The manager decides whether to take a date or a venue and deals with unusual cases such as cancellations, reschedules and urgent or tense situations. A contract goes out for signature only after the manager approves it. Payments run through the agency, and people make every decision about money and artist payouts. The assistant does not negotiate in the manager's place or answer an organiser on the manager's behalf.

The assistant receives an incoming request and creates a record for it. It checks the artist's calendar and the shared calendar, warns about overlapping dates, drafts proposals and documents, reminds everyone about deadlines, keeps statuses current in the artist dashboard and builds reports for managers. It gets the data for the calendars from people and from the artists themselves. When it lacks information, it collects its questions and puts them to the manager in one batch once a day.

The agency publishes its way of working and does not publish prices. An artist works without exclusivity under one-off agreements, sees the agency's commission on each of their own deals and receives payouts through the agency. An organiser knows the steps from enquiry to show in advance and sees which step belongs to a manager and which to the assistant. Fees and cancellation terms are discussed individually.

When a manager replies to an enquiry, the artist's calendar is already checked and the documents are ready for review. The organiser talks to a person who has the dates in front of them. The page for organisers and the page for artists spell out the terms, and the privacy policy describes how the assistant processes enquiries.
